The Cost Accountant will be responsible for analyzing financial data to support cost-effective decision-making within the organization. This role involves managing contracts, procurement, and ensuring compliance with relevant regulations.
The grant administrator/cost accountant position will be an integral part of a team that is developing ocean compostable fish-friendly single-use to-go products. In supporting projects for Maine Technology Institue, National Science Foundation, University of Massachusetts at Dartmouth, University of Maine, and other international support projects, you will help insure P3RD.Earth’s mission of reducing plastic in the ocean and making manufacturing eco friendly. Our goal is to create packaging products that ensures single-use waste stops hurting the environment and us humans. As the grant administrator/cost accountant you will play a critical role in supporting our administrative and communication needs, ensuring the efficient operation of our organization. Your responsibilities will include providing administrative organizational support, developing and coordinating communication campaigns, managing scientific documents submission, collaborating and coordinating data reporting, maintaining a high level of organization in our scientific facilities, and ensure that project billings are issued to customers and payments collected in accordance with the established billing policies.

Functions:
•Project cost accounting.
•Read and understand the terms of each contract to include the scope of work, deliverables, allowable costs, billing issues, milestones, and schedule.
•Develop and maintain detailed project Estimates at Completion (EACs), including the actual costs to date, as well as the Estimate to Complete (ETC) on a monthly basis. The Estimate to Complete is based on project managers' inputs and should be reviewed with the CFO and updated monthly.
•Summarize actual project performance compared to proposed pricing, the original baseline EAC, and the most current EAC.
•Excellent organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
•Assist in the preparation of grant proposals and research protocols.
•Contribute to the creation of a common QuickBooks dashboard for each project with relevant financial data (cost, schedule, invoicing, etc.).
•Participate in a monthly review with PM, PI, contracts, finance, etc. to review each project in terms of cost, schedule, cash flow, deliverables, customer satisfaction, etc.
•Set-up and maintain projects in QuickBooks and assist CFO with reconciling transactions within the accounting system so accurate invoicing can be prepared for each project.
•Maintaining QuickBooks timesheets and expense reports and assisting team members as required for proper accounting to Indirect and Direct cost accounts.
•Close out project upon project completion with Clients.
•Update and submit monthly and quarterly government reporting.
•Prepare final invoice package containing draft and final invoices for all billable projects, including all applicable backup for approval by the CFO.
•Respond to requests for more detail from customers to support billed costs.
•Assist CFO with developing standard processes and procedures.
•Maintain project folders with all the appropriate documents, including expenses, consultant invoices, and monthly billings, in accordance with standard procedures.
•Work with the team members on cash and expense receipts to reconcile variances that occur in the application of cash or expense reporting.
•Compile information and support for internal and external auditors. as required.
•Prepare balance sheet account reconciliations, as directed by the CFO.
•Perform additional assignments, as directed by the CEO or CFO.
•Prepare annual Indirect Rate package to DCAA, as required.
•Prepare and book monthly project related accruals, prepaids, and depreciation costs.
Education - Experience:
•Bachelor's Degree in accounting or business preferred with a minimum of 4 years experience.
•Experience with government contracts including Firm Fixed Priced, Cost Plus Fixed Fee, Not-to-Exceed and Cost Share contracts
•Proven experience in technical support, administrative coordination, or related roles.

•Must be detail orientated and accuracy in handling documentation, data, and information.

•Ability to be a team player with a proactive attitude and willingness to work well with others under deadline situations and respond to changes in priorities.
•Ability to work independently, take initiative, set priorities, and see projects through to completion.
•A scientific background is a plus.
